Formula

Expected revenue equals open deals × average deal value × win rate
Open deals
Qualified deals currently in the pipeline, not every enquiry.
Average deal value
What a typical deal is worth when it closes.
Win rate
The share of similar deals that close, from your own history.

Worked example

B2B software

A B2B software company has 40 qualified deals open, an average deal value of 50,000 and a historic win rate of 0.2. Multiplied together, expected revenue from the pipeline is 4,00,000. If only 20 deals are really live, the number halves.

Why it matters

A pipeline answers a question every owner asks: how much will we sell in the next few months? It shows where each live deal stands, who owns it and what happens next, so you can forecast, spot stalls and decide where to spend effort.

People often say "funnel" and "pipeline" interchangeably, but they are not the same. A funnel describes how a population of visitors and leads narrows over time, and is a marketing view. A pipeline lists individual deals, each with a person, a value and a stage, and is a sales view. The funnel feeds the pipeline.

How to build one

  1. Name the stages by what the buyer does, not what you do. For example: enquiry, qualified, site visit or demo, proposal, decision, won or lost.
  2. Write exit criteria for each stage, such as "qualified means budget and timeline confirmed".
  3. Give every deal an owner, a value and a next step with a date.
  4. Review weekly. Deals with no next step, or sitting in a stage for twice the usual time, get a decision: act or close them out.
  5. Track conversion between stages to see where deals leak.

This works for a real estate developer with a six-month cycle and a school with an admission window alike; only the stage names change.

Common mistakes

  • Treating every enquiry as pipeline. Unqualified leads inflate it.
  • Optimistic stages. Moving a deal forward because it feels good rather than because the buyer did something.
  • Stale deals nobody dares to close.
  • Keeping the pipeline in spreadsheets and chats, where it cannot be reported.
